Hi, I'd like to book a follow-up with Dr. Khan, Tuesday afternoon if possible.
Of course. I see Tuesday at 2:30 PM with Dr. Khan, or 3:30 PM. Which works better?

3:30 is perfect.

How it works

From ringing phone to booked appointment in under a minute.

No phone trees. No "press 1." ARIA picks up like a real receptionist, listens, and gets the work done — directly inside the systems you already use.

1

Caller dials in

ARIA picks up on the first ring with your practice's voice, hours and policies — no menus, no hold music, no missed calls after hours.

2

ARIA understands

Real-time speech, multi-turn dialogue, and clinical context. ARIA verifies the patient, triages urgency, and decides what to do next.

3

It gets done

Books, cancels, reschedules, registers a new patient, sends an intake link, or warm-transfers to a human — in your EHR, in real time.

What ARIA does

Everything a great receptionist does — at the scale of software.

First-ring pickup, every time

No queues, no busy signals. Unlimited concurrent calls — even at 4:55 on a Friday.

Real EHR scheduling

Book, cancel, reschedule directly in Practice Fusion today — Epic, eClinicalWorks, Athena, NextGen via API. No copy-paste, no double-entry.

Urgency triage & 911 routing

Detects emergencies, chest pain, suicidal ideation. Escalates to a live clinician or 911 instantly — never lets a critical call sit on hold.

Patient identity verification

Confirms name, DOB and phone against your EHR before sharing or changing anything — disambiguates duplicate records automatically.

Warm transfers to a human

When a call needs a person, ARIA briefs them with patient context first — so the handoff feels seamless to the caller.

Live SMS fallback

Bad line? Mid-call ARIA can text the caller a link, intake form, or appointment reminder so nothing falls through.

Insurance & intake capture

Captures insurance, reason for visit, and consent — and texts a portal link for forms, copay, or photo of the card.

Bilingual & multi-voice

English & Spanish out of the box. Choose a voice that matches your practice's brand — calm, warm, or energetic.

Call summaries & transcripts

Every call becomes a clean summary, full transcript, and audit trail — viewable in the ARIA dashboard or pushed to your inbox / Slack.

Outbound recall & reminders

Reduce no-shows: ARIA places appointment reminders, recalls overdue patients, and re-books cancellations from the waitlist.

After-hours & overflow

Use ARIA only after hours, only at lunch, or for every call. Drop-in to your existing PBX, Twilio, or main line.

Practice-specific knowledge

Hours, providers, locations, accepted insurance, prep instructions, FAQs — ARIA learns your practice and answers like staff.

Technology

Enterprise-grade infrastructure. Signed BAAs all the way down.

ARIA runs entirely inside HIPAA-eligible AWS, with patient data flowing only through providers that will sign a BAA. Your transcripts and PHI are encrypted, US-resident, and never used to train any model.

Your data stays yours. ARIA never trains models on your call content or PHI. Recordings and transcripts are encrypted, retention is configurable, and a signed BAA is part of every contract.

Trusted by practices

Built with — and for — real medical practices.

ARIA is in production today inside Practice Fusion-based clinics in the U.S. We built it alongside the clinicians and operations leads who use it every day.

"ARIA picks up every call we'd previously been missing — including overnight. Patients book themselves, the chart is updated before I see them, and our front desk has time to actually be helpful in person again."

Practice Manager
Behavioral health · West Virginia
"What sold me was the warm-transfer. ARIA handles the routine calls, but the moment someone says 'chest pain,' it's already on the line with my on-call doc — with the patient's chart open."
D
Medical Director
Internal medicine · Northeast U.S.
"The team listened to actual calls with us before going live. Our compliance officer reviewed the BAA and the data flow — first vendor that didn't make us chase them for it."

Compliance & safety

HIPAA-first, by design — not by checklist.

ARIA was built for the constraints of healthcare from day one. Every piece of patient data is encrypted, scoped, audited, and retention-controlled — and a real human is always one transfer away.

FAQ

Questions practices ask us.

Is ARIA actually HIPAA-compliant?
Yes. ARIA runs in HIPAA-eligible AWS services with a signed BAA, KMS encryption, audit logs, and zero PHI used for model training. Every downstream provider (AWS, Twilio, ElevenLabs, Anthropic via Bedrock) operates under a BAA. We sign one with you before go-live.
Will it actually book in our EHR, or just take a message?
It books, cancels, reschedules, registers new patients, and looks up upcoming visits — directly in the EHR, in real time. We're live in Practice Fusion today; other EHRs through API integration on the Group and Enterprise plans.
What happens if a caller has a real emergency?
ARIA is trained to detect medical emergencies, suicidal ideation, and other high-risk signals. It immediately recommends 911 and warm-transfers to your on-call clinician (or our 24/7 live support pool, if configured).
Can it transfer to a real person?
Always. Any caller can ask for a human at any point and ARIA will warm-transfer with full context. You can also configure rules — e.g. "after 3 minutes, transfer to front desk."
What does it actually cost?
Three published tiers: Practice ($499/mo + usage), Group ($1,499/mo + usage), and Enterprise (custom). Annual contracts receive 2 months free. Most practices land between $750 and $2,500 / mo all-in including minutes — usually less than one part-time receptionist.
How long does it take to go live?
Most practices are live in about three weeks: scoping & data, BAA, EHR integration, voice / persona, and a soft launch on after-hours before going full-time.
